By accessing or using the Platform in any manner including by browsing our website, submitting an enquiry form, applying for a career opportunity or executing a Service Order for any Gotilo sub-platform, you acknowledge that you have read and understood this Policy. Where required under applicable law, we will seek your consent for specific processing activities. Other processing may be carried out on the basis of contract, legal obligation, legitimate interest, or our role as a Data Processor acting on the instructions of an enterprise client.
This Policy is an electronic record within the meaning of the Information Technology Act 2000 of India and the rules made thereunder and does not require a physical or digital signature to be legally effective.
1. Scope and Applicability
This Policy applies to all personal data and non-personal information collected by us through or in connection with the Platform. It applies to visitors who browse the website, prospective clients who submit enquiries or request demonstrations, enterprise clients who execute a Service Order and deploy any sub-platform within the Gotilo Product Suite, authorised users of any Gotilo sub-platform including Gotilo Container, Gotilo Inspect and Gotilo Spot, individuals whose personal data may be incidentally captured through devices connected to the Platform at a client’s premises such as workers, drivers, visitors and contractors, and candidates who apply for career positions through our website.
The Platform may be deployed in different models, including on-premise deployment, edge-device processing, cloud-hosted deployment, hybrid deployment, or client-hosted infrastructure. The actual data flow, storage location, retention period, access rights, and security responsibilities may vary depending on the deployment model agreed with the enterprise client in the applicable Service Order, Statement of Work, Data Processing Agreement, or security annexure.
This Policy does not apply to information collected by third-party websites or services to which our website may link. We are not responsible for the privacy practices of those third parties and we encourage you to review their respective privacy policies before providing any personal data to them.
2. About the Gotilo Platform
Gotilo is an AI Vision product suite developed and operated by WebOccult Technologies Private Limited. The Platform delivers computer vision and machine vision capabilities to enterprise and government clients across industries including manufacturing, logistics, transportation, banking, retail and government. The Gotilo Product Suite currently includes, without limitation, the following sub-platforms. WebOccult may introduce additional Gotilo sub-platforms, features, or solution lines from time to time.
Sub-Platform
Primary Function and Nature of Data Processed
Gotilo Container
Container yard management, gate automation, OCR-based container identification, ANPR and logistics visibility. Processes vehicle number plate images, container identification codes, gate entry and exit records and yard movement data at client premises.
Gotilo Inspect
Automated AI visual inspection for manufacturing production lines, quality assurance and defect detection. Processes visual images of products, components and production-line outputs. Does not ordinarily capture personal data of individuals.
Gotilo Spot
Real-time AI visual intelligence for workplace safety monitoring, PPE compliance, fire and smoke detection and site surveillance. Processes video footage and images that may capture the appearance of workers, drivers, visitors and other persons present at the client’s monitored premises.
The nature and sensitivity of data processed through each sub-platform differs significantly. Gotilo Container and Gotilo Spot involve the processing of data that may constitute personal data under applicable law. Gotilo Inspect is primarily concerned with product and process imagery and does not typically involve personal data. We take appropriate measures proportionate to the sensitivity of the data processed through each sub-platform.
3. Our Dual Role as Data Fiduciary and Data Processor
We operate in two legally distinct capacities in relation to personal data and it is important that you understand the distinction.
3.1. When We Act as Data Fiduciary: We act as the Data Fiduciary or Data Controller in relation to personal data that we collect directly from you in our capacity as the owner and operator of the Gotilo suite and the Company. This includes personal data collected from website visitors, individuals who submit enquiry or contact forms, prospective clients who attend demonstrations, billing and commercial contacts, career applicants and marketing subscribers. In this capacity we determine the purpose and means of processing and we are solely responsible for ensuring that processing has a lawful basis.
3.2. When We Act as Data Processor: We act as the Data Processor or Service Provider when we process Client Operational Data generated at a client’s premises through devices connected to the Platform including video footage, container records, OCR outputs, safety alerts and inspection results. In this capacity we process personal data solely on the documented instructions of the client who acts as the Data Fiduciary or Data Controller. The client is responsible for establishing a lawful basis for processing the personal data of workers, drivers, visitors and contractors captured at its premises through devices deployed as part of a Gotilo implementation. The enterprise client is responsible for determining the lawful basis and operational purpose for monitoring at its premises, including providing notices, obtaining consents where required, and ensuring that camera placement is proportionate. WebOccult is responsible for processing such data only in accordance with the client’s documented instructions and for applying the technical and organisational measures agreed under the applicable contract or Data Processing Agreement.
4. Data Ownership and Client Data
As between WebOccult and the enterprise client, Client Operational Data processed through a Gotilo deployment is controlled by the enterprise client, and the enterprise client determines the purpose and means of processing such data. WebOccult does not sell Client Operational Data. WebOccult processes Client Operational Data only to provide the contracted services, support the deployment, maintain security, comply with applicable law, or as otherwise authorised in writing by the enterprise client.
WebOccult retains all rights, title and interest in the Gotilo Platform, software, source code, workflows, dashboards, algorithms, AI models, model architecture, know-how, documentation, product design and pre-existing intellectual property. Ownership or usage rights in reports, alerts, analytics, outputs or deliverables generated for an enterprise client will be governed by the applicable Service Order, Master Service Agreement or Statement of Work.
5. Personal Data We Collect
5.1. Data You Provide Directly: We collect personal data from you when you voluntarily provide it to us. The categories of personal data that you may provide to us include the following.
Contact and Enquiry Information. When you submit an enquiry, contact or demo request form on our website we collect your full name, job title, company name, business email address, contact telephone number and the nature of your enquiry. This information is used to respond to your request, schedule demonstrations and initiate commercial discussions.
Career Application Information. When you apply for a position through our careers section we collect your name, email address, telephone number, educational qualifications, professional experience and any other information you include in your application materials. This information is used solely for the purpose of evaluating your application and may be retained until the relevant selection process is concluded or for such longer period as is necessary to defend against any employment-related claims.
Commercial and Contractual Information. When a client executes a Service Order with us we collect and process identification and contact details of the client’s authorised representatives, billing and payment information and any correspondence or documentation exchanged during the commercial relationship.
Support and Communication Information. When you contact our support or customer success team we collect records of your communications with us including the content of your messages, your contact details and any information you provide in the course of seeking assistance.
5.2. Data We Collect Automatically: When you access our website we automatically collect certain technical and usage information, some of which may constitute personal data under applicable law through cookies and similar technologies. This includes your IP address and approximate geographic location derived from it, the type and version of your browser and operating system, the pages you visit on our website and the duration of your visit, the URL of the webpage that referred you to our website, the date and time of your visit and your browsing behaviour on our website. This information is used for the purposes described in Section 8 of this Policy, including website analytics, security, performance monitoring and improvement of our website.
5.3. Data Captured Through Platform Devices at Client Premises: When enterprise clients deploy the Gotilo Platform at their premises devices including cameras and edge compute units may capture video footage and images in which individuals such as workers, drivers, contractors and visitors may appear. The categories of data captured through such devices may include but not limited to video footage and still images, vehicle number plate data, container identification codes, workplace safety observations such as PPE status and operational event analytics. We process this data solely as a Data Processor on behalf of our enterprise clients. We do not use this data for our own purposes except where expressly authorised in writing by the relevant client.
5.4. Sensitive, Biometric and Face Recognition Data: The Platform is designed primarily for enterprise, industrial and operational use. Certain Gotilo sub-platforms or features may, where specifically enabled by an enterprise client, process facial images, face templates, biometric identifiers or other data capable of identifying an individual for purposes such as access control, attendance, security monitoring, visitor management, workplace safety, or client-authorised identity verification.
Such face recognition or biometric processing is not enabled by default and is provided only where expressly agreed under the applicable Service Order, Statement of Work, Data Processing Agreement or other written arrangement with the enterprise client. Where such features are enabled at a client’s premises, WebOccult processes the relevant data as a Data Processor acting on the documented instructions of the client. The client is responsible for determining the lawful basis for such processing, providing clear and prominent notices to affected individuals, obtaining consent where required under applicable law, complying with employment and labour law obligations, defining retention periods, and ensuring that access to such data is limited to authorised personnel.
WebOccult does not use face recognition data, biometric templates, facial images or identity-related outputs for its own independent purposes, general marketing or unrelated analytics. WebOccult will not use such data for general AI model training unless expressly authorised in writing by the relevant enterprise client and subject to appropriate safeguards such as access restriction, masking, anonymisation, aggregation or deletion of identifiers wherever feasible.
The Platform is not intended for use by individuals below the age of eighteen years. Where minors are incidentally captured by cameras deployed by an enterprise client at its premises, the enterprise client is responsible for ensuring that such monitoring complies with applicable law and that appropriate notices, safeguards and access controls are implemented.

This may include pages visited, session duration, referral sources, approximate geographic location and device information. This data is used to understand website performance and improve user experience.
Google Tag Manager: We use Google Tag Manager to manage and deploy tags on the website. Google Tag Manager does not itself collect personal data but facilitates the operation of other tools, including Google Analytics.
Functional Cookies: These cookies allow the website to remember user preferences and choices, such as language and regional settings, to provide a more personalised experience.
Marketing and Preference Cookies: Subject to your consent, these cookies help us understand your interests and preferences and assess the relevance of our content and communications. 9. Platform-Specific Privacy Considerations
9.1. Gotilo Container: Gotilo Container processes operational data generated at container yards, empty depots, inland container depots and port facilities. This data includes vehicle number plate images captured through automatic number plate recognition, container identification codes read through optical character recognition, gate entry and exit timestamps, yard movement logs, vehicle and container images for AI damage detection and geolocation data relating to handling equipment within the yard. Vehicle number plate data may constitute personal data in certain jurisdictions. We process this data as Data Processor on behalf of our enterprise clients. Clients who deploy Gotilo Container are responsible for ensuring that appropriate notices are displayed at all gate entry and monitored areas and that their processing of this data has a valid lawful basis under applicable data protection law.
9.2. Gotilo Inspect: Gotilo Inspect processes visual imagery of products, components, packaging and production-line outputs for the purpose of automated defect detection and quality assurance. This sub-platform does not ordinarily capture or process personal data of identifiable individuals. Where production-line cameras incidentally capture images in which workers may appear we treat such footage as operational data processed under our Data Processor arrangement with the relevant client. The client is responsible for any applicable obligations arising from such incidental capture.
9.3. Gotilo Spot: Gotilo Spot processes real-time video footage from workplace and industrial premises for the purpose of safety monitoring, PPE compliance monitoring, fire and smoke detection, zone intrusion detection and safety and operational analytics. This sub-platform has the highest potential to capture and process personal data because the individuals present at monitored premises including workers, visitors, drivers and contractors will commonly be identifiable from the footage. We process this data solely as Data Processor on behalf of our enterprise clients. Clients who deploy Gotilo Spot are responsible for obtaining all applicable regulatory approvals for workplace surveillance, providing clear and prominent notices at all monitored areas, establishing a lawful basis for processing under applicable data protection law including India’s Digital Personal Data Protection Act 2023 and obtaining any consents required under applicable labour law and employment contracts before monitoring employees with AI video analytics tools.
10. AI Outputs, Human Review and Model Improvement
The Platform generates AI-based outputs such as OCR results, number plate recognition, container identification, defect detection, damage classification, PPE alerts, fire/smoke alerts, intrusion alerts, face recogntion results where enabled and operational analytics. Such outputs are probabilistic and may not always be accurate, complete, or error-free. Enterprise clients should apply appropriate human review before taking disciplinary, employment, legal, insurance, safety-critical, or financial actions based solely on AI-generated outputs.
WebOccult may improve, test, validate and enhance the Gotilo Platform and its AI models using anonymised, aggregated, synthetic or non-identifying data. WebOccult will not use identifiable Client Operational Data, raw video footage, event clips, facial images, biometric templates, OCR logs, safety evidence or other client-specific data for general AI model training unless expressly authorised in writing by the relevant enterprise client or permitted under the applicable Service Order or Data Processing Agreement. Where such data is used for model improvement, WebOccult will apply appropriate safeguards such as access restriction, masking, anonymisation, aggregation, secure storage and purpose limitation.
11. Sharing and Disclosure of Personal Data
11.1. We treat your personal data with strict confidentiality. We do not sell, trade or rent your personal data to third parties for their own commercial purposes. We may share your personal data in the following limited circumstances.
Sub-Processors and Service Providers. We engage third-party service providers and sub-processors to assist us in operating our business and delivering the Platform. These may include cloud infrastructure providers, email and communication platforms, analytics providers, CRM systems, support tools, logging and monitoring tools, and remote support tools. We require such providers to process personal data only for authorised purposes and to maintain appropriate confidentiality, security and data protection obligations. A list of principal sub-processors relevant to a particular enterprise deployment may be made available on written request or as set out in the applicable Data Processing Agreement.
Disclosure to Our Enterprise Clients. Where you are an individual whose personal data has been captured at a client’s premises through devices connected to the Platform such as a worker or visitor, that data is controlled by our enterprise client. We may make that data available to the client in accordance with the terms of the applicable Service Order and Data Processing Agreement. We do not share that data with any person other than the relevant client and its authorised users except as required by law.
Legal Disclosure. We may disclose your personal data to government authorities, regulatory bodies, law enforcement agencies or courts if we are required to do so by applicable law or by a valid court order. Where permitted by law we will endeavour to notify you of such a requirement before complying with it.
Business Transfers. In the event of a merger, acquisition, restructuring or sale of all or a substantial portion of our business or assets, personal data held by us may be transferred to the acquiring entity. We will notify you of any such transfer and the privacy policy applicable to your personal data thereafter.
Professional Advisers. We may share personal data with our lawyers, accountants, insurers and other professional advisers where necessary for the purposes of obtaining professional advice or managing legal proceedings. All such advisers are bound by professional confidentiality obligations.
12. Cross-Border Data Transfers
12.1. WebOccult Technologies Private Limited is incorporated in India. Depending on the nature of the Platform, deployment model, support requirement, hosting infrastructure, analytics tools and client-approved integrations, personal data may be accessed from, stored in or processed in India or other jurisdictions where our service providers, technology partners or authorised support resources are located.
For Client Operational Data processed through Gotilo deployments, the storage location, access location, hosting environment and permitted cross-border transfers will be governed by the applicable Service Order, Statement of Work, Data Processing Agreement and deployment architecture agreed with the enterprise client.Where we transfer personal data outside India, we take appropriate measures to ensure that such transfer is carried out in accordance with applicable law and subject to appropriate contractual, technical and organisational safeguards. 13. Security of Personal Data
13.1. We implement and maintain appropriate technical and organisational measures to protect your personal data against unauthorised or unlawful processing, accidental loss, destruction or damage. Our security measures include the use of encryption for data in transit and where appropriate for data at rest, access controls that limit access to personal data to employees and service providers who have a legitimate need to access it, regular review of our security practices and procedures, incident response procedures to manage and report data security incidents in accordance with applicable law and secure disposal of personal data that is no longer required.Depending on the deployment model and commercial scope, our technical and organisational measures may include role-based access controls, least-privilege access, audit logging, multi-factor authentication for administrative access, secure configuration of edge devices, encryption in transit, encryption at rest where applicable, backup and recovery procedures, environment segregation, vulnerability management, and restricted access to production systems.Remote support access, where required, is provided only with client authorisation and is restricted to authorised WebOccult personnel. We recommend that enterprise clients enable supervised sessions, session logging, time-bound access, client-side approval, MFA, VPN or equivalent controls wherever applicable. Remote access credentials, if any, should be controlled by the client and not shared except through approved secure channels
13.2. In the event of a data security incident, we will take steps to assess, contain and remediate the incident. Where we act as Data Processor, we will notify the relevant enterprise client in accordance with the applicable agreement and cooperate with the client in meeting its legal obligations. Where we act as Data Fiduciary or Data Controller, we will notify affected individuals and/or regulatory authorities where required under applicable law.
14. Retention of Personal Data

Client and commercial data: Retained for the duration of the contractual relationship and for a period of seven years following its termination or expiry as required by applicable Indian financial record-keeping obligations.
Marketing communication data: Retained until you withdraw your consent or opt out of communications.
Website analytics data: Retained in aggregated, anonymised or pseudonymised form, depending on the analytics tool configuration, for up to twenty-six months in accordance with Google Analytics default retention settings.
Client Operational Data processed as Data Processor: Including raw video, event images, OCR/ANPR logs, AI alerts, metadata, audit logs and backup data, is retained in accordance with the retention period, deployment architecture and storage configuration agreed with the enterprise client in the applicable Service Order, Statement of Work, Data Processing Agreement or written configuration document. Because Gotilo may be deployed on-premise, on edge devices, in the cloud or in a hybrid model, retention periods may differ from client to client. Unless otherwise agreed, WebOccult does not retain Client Operational Data beyond the period necessary to provide the contracted services, comply with applicable law, resolve disputes or enforce contractual rights.
14.2. Upon the expiry of the applicable retention period personal data is securely deleted or anonymised in a manner that prevents the re-identification of individuals.
